The European Bank for Reconstruction and Development wanted to improve its registration process, at its Annual Meeting, for its participants and replace its aging barcode security system with a more robust solution.

With over 50 categories of guest, paying - non-paying, accommodation, meeting management, networking and security requirements to consider the need for a robust and easy to use systems were critical to the success of the meeting. Webelectrix was given the task of producing systems to manage the whole process from online registration and Delegate management to the overall security of the meeting.

Utilising EventModeller, at its core, Webelectrix produced systems that took, what was a fractured and slow process, to a fast and smooth participant experience. Registering up to 4,500 participants and staff was transformed into to a slick and professional operation; photos are taken in seconds and a fully encoded RFID badge is produced within 45 seconds.

Participants’ badges allow them to automatically login to an internet café purely by touching their card against a reader this allows then to network with likeminded professionals who they can profile against interests recorded via the registration process. They can also see who has arrived onsite and request meetings via the messaging system.

Security is a major concern at the Annual Meetings with high profile politicians, delegations and government officials attending from all over the world. Webelectrix designed and created a system to run in conjunction with the registration process to validate participant’s cards using military grade readers. The result was a secure, fast process that could run as standalone units if Wi-Fi was unavailable. Remote monitoring allowed viewing of traffic, blocking of cards and the monitoring of battery status and access point locations.
